Key Responsibilities:
· Oversee the day-to-day functioning of the office, ensuring that administrative processes run smoothly
· Provide support to staff and management, including handling correspondences, preparing documents, and scheduling meetings.
· Occasional visit to the field.
· Manage office supplies and equipment, ensuring availability and proper functioning
· Manage communication channels such as phone calls and emails
· Maintain and organize physical and digital records and files, and ensure the proper retention, protection, and disposal of records.
· Manage data entry and other record keeping tasks
· Support the organization of events, training, workshops, and conferences.
· Ensure compliance with company policies and procedure
· Coordinate with building management for office maintenance and repairs
· Ensure a safe and clean work environment.
· Provide regular office operations reports to management and identify areas for improvement.
3. General Duties
· Provide support to other departments as needed
· Participate in team meetings, write minutes and contribute to continuous improvement initiatives
· Perform other duties as assigned
Work hours and Benefits:
This is a full-time job running Monday to Friday, 8am to 5pm EAT. The job comes with paid time off and professional development initiatives.
Qualifications & Skills
· Bachelor’s degree in management and secretarial studies, business administration, or related fields
· Minimum of 1-2 years’ experience in administrative work especially in an NGO setting
· Excellence organizational and time management abilities
· Attention to detail and accuracy
· Strong communication and interpersonal skills
· Ability to work independently and as part of a team
· Familiarity with basic office equipment (e.g. printers, copiers, scanners, computer etc.)
· Ability to handle confidential information with integrity and discretion
· Strong verbal and written communication skills.
· Provides excellent customer service
